Dear HR Comrades,
It’s that time of the year again to remind HODs and employees to plan their annual leave before December becomes everyone’s problem.
I recommend sending two simple reminders to your organisation.
Memo 1: To All Heads of Department
The objective is to get managers to start planning ahead.
The memo should be accompanied by a password-protected spreadsheet showing each team member’s current annual leave balance.
In the memo:
• Clearly highlight employees who still have more than 70% of their annual leave entitlement unutilised
• Ask managers to proactively discuss leave plans with their team and spread leave throughout the remaining months of the year
• Remind managers that annual leave planning is a management responsibility
Memo 2: To All Employees
The objective is to raise awareness.
In the memo:
• Remind employees of the company’s annual leave carry forward policy, including any expiry dates
• Encourage employees to discuss their leave plans with their manager so adequate manpower can be maintained
• Explain that leave approval remains subject to operational requirements, and that early planning helps reduce disappointment later
Remember, a little planning today can go a long way in managing expectations later.
