The Recommended Resignation Process

Step 1: Have the courage to talk to your boss privately and politely inform them of your wish to leave. I always think it’s more polite to do it this way rather just sending a text or an email. If you’re working remotely, a virtual call will serve the same purpose.

A reason for resignation is not required by law, but it’s always nice to leave on a good note, no matter what happened in between.

Step 2: Email your resignation letter to your boss, copying HR and your personal email. We copy our personal email because most of the time, when we send such letters, we use the company email and we want to have a record of this resignation email for record-keeping.

Technically speaking, an acceptance of resignation is not required by law, and the employer cannot stop you from leaving. In the event this case reach the labour office, you’ll need to produce documented proof that you officially tendered your resignation, and that same email will be your saving grace.

Step 3: If needed, or if they request a hardcopy, print the letter, sign it, and send it to HR.

Though an acceptance of resignation letter is not a mandatory, a good HR department will produce the document to ensure both parties mutually agree on the termination terms. This includes confirmation of the annual leave balance, last working day, last day in payroll, any notice in lieu of payment if applicable, and a reminder to the employee to adhere to the confidentiality agreement they signed when joining the company.
