Many have asked whether an announcement via WhatsApp is legit.
Short answer: Yes, announcements through WhatsApp can be legitimate.
Let me explain.
In many cases, WhatsApp messages are considered written communication because they are recorded, have timestamps, show the sender and recipient, and can be screenshot and printed as evidence in court. In Industrial Court cases, WhatsApp messages have been used as evidence many times.
But if you ask me whether WhatsApp is appropriate for official announcements or communications, then my answer would be no.
To me, WhatsApp is designed for short messages, replacing SMS (Short Messaging System), which was popular back in the early 2000s.
If you are using it to inform staff about meeting reminders, office closures, emergency announcements, and simple operational matters, that is still okay.
But if it’s for serious matters like show cause letters, policy changes, or resignations, these should still be in the form of a formal letter and email. WhatsApp can then be used as an additional notification, not the main method.
So for many years, this has been my best practice.
I will send a brief WhatsApp message because that is the fastest and most efficient way to get a message across a large group of people quickly (since we are all so attached to our phones).
In the same WhatsApp message, I will include a line telling them to look out for the official email announcement.
In the email announcement, I would attach any relevant documents or include a link to the intranet where the document can be viewed.
